Overview

Provides overall support of office services including copying, supplies, facilities and mailing in the Los Angeles office under the direction of the Office Administrator. Oversee all aspects of the central supply operation including inventory control, receipt and maintaining stock supply items for firm personnel. 

Responsibilities

 

Copying, mailing, shipping and receiving responsibilities

  • Provide bulk printing, collating, binding, and photocopying services for office
  • Maintain shipping and receiving logs
  • Oversee internal pouched mail processes and procedures
  • Make, coordinate and follow-up with requester regarding Fed-Ex drop off and delivery
  • Prepare all packing slips/invoices related to shipping

 

Resource Room Responsibilities

  • Order stationery supplies and maintain sufficient on-hand level of office supplies inventory
  • Receive and verify vendor deliveries with issued purchase orders
  • Deliver special order items to end-users in a timely manner
  • Inspect the condition of the Equipment Room and supply level on a daily basis and organize as necessary
  • Inform Office Administrator of conditional issues, shredder maintenance issues, etc.

Facilities

  • Prepare assigned work area for new-hire arrivals, provide new arrivals with a desk setup of standard supplies and install occupant nameplate
  • Check VOs to confirm they are setup for visitors and install nameplates prior to arrival
  • Assist with office moves as needed
  • Monitor facilities concerns such as temperature control, light bulb replacement, HVAC requests, minor repairs etc. and coordinate maintenance with building engineers through the internal request system, informing Office Administrator as appropriate.
  • Maintain office cleanliness through regular schedule of carpet cleaning, office quarterly cleaning, etc., coordinating with Office Manager
  • Assist with conference room setups and catering needs
  • Order and stock pantries
  • Provide backup support for AV setups

Qualifications

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:     

  • Minimum three years experience preferably from financial services or professional firm
  • Proficiency in MS applications
  • Willing to learn, independent, helpful and with a strong sense of responsibility
  • Ability to lift heavy items

 

OTHER RESPONSIBILITIES:

  • Run outdoor errands and perform other work-related duties as assigned by Office Administrator

Compensation and Total Rewards Package

The anticipated pay range for this role is listed below and represents our good faith and reasonable estimate of the starting salary range at the time of posting. In addition, this role is eligible for a discretionary bonus based on performance. The actual offered rate for this position will be determined based on job-related, non-discriminatory factors, including qualifications and experience, geographic location, education, external market data and consideration of internal equity.

  • Los Angeles: $48,100 - $69,850

Working Conditions

This position requires on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for ongoing business continuity, professional development and effective collaboration with colleagues and management.
