Overview

Working under the guidance of the Director of Administration, the Team Lead will oversee, guide, and support the Legal Executive and Administrative support staff within the office, ensuring that attorneys and business support groups receive high-quality, efficient, and consistent administrative services. Acts as a role model for professionalism, client service, and teamwork.

This individual will be involved in the interview process for new administrative talent and ultimately the onboarding of new hires to the firm.  The Team Lead will play a vital role in identifying areas for professional development (technology & soft skills) and for maintaining good morale among the team.  The Team Lead will also play a role in monitoring overall administrative support performance and contribute feedback for appraisals.

Responsibilities

Leadership & Supervision

  • Provide direct administrative support to one or two high-level partners, managing responsibilities such as schedules, business development, billing coordination, and high-priority tasks.
  • Lead, mentor, and motivate the administrative support team, fostering a positive and collaborative work environment.
  • Assign work, balance workloads, and ensure coverage during absences.
  • Conduct regular check-ins with team members to discuss priorities, and development needs.
  • Provide constructive feedback in coordination with Director of Administration.

 

Workflow & Quality Management

  • Oversee daily operations to ensure best-in-class service delivery.
  • Develop and maintain best practices for administrative processes, ensuring consistency across the team.
  • Monitor and address issues proactively.

 

Training & Development

  • Onboard new administrative staff, ensuring they understand firm policies, procedures, and culture.
  • Identify training needs and coordinate skills development (technical, procedural, and soft skills).
  • Encourage cross-training to provide flexibility and coverage.

Communication & Collaboration

  • Serve as a liaison between administrative staff, attorneys, and firm leadership.
  • Facilitate regular team meetings to share updates, celebrate achievements, and address concerns.
  • Promote effective communication within and across practice groups.

Resource & Scheduling Management

  • Manage staff schedules, time-off requests, and workload distribution to maintain adequate support coverage.
  • Assist with hiring decisions in collaboration with HR and management.

Service Excellence

  • Model a client-focused approach when dealing with attorneys, colleagues, and external contacts.
  • Promote high standards of confidentiality, discretion, and professionalism in all interactions.
  • Encourage and implement continuous improvement in administrative processes.

Special Projects & Firm Initiatives

  • Support firm-wide projects, events, and initiatives as needed.
  • Coordinate with other departments (IT, Business Development, Finance & Billing) to ensure seamless support for attorneys and clients.
  • Lead or participate in committees and/or focus groups focused on service improvement, new technology, or employee engagement.

Qualifications

  • College degree preferred
  • Minimum 10+ years of experience as an Executive Assistant for Sr. Partners in a global law firm or similar Chief of Staff experience in a professional services organization.
  • Prior supervisory/coaching role experience a plus
  • Exceptional communication and interpersonal skills

The anticipated pay range for this role is listed below and represents our good faith and reasonable estimate of the starting salary range at the time of posting. In addition, this role is eligible for a discretionary bonus based on performance. The actual offered rate for this position will be determined based on job-related, non-discriminatory factors, including qualifications and experience, geographic location, education, external market data and consideration of internal equity.

 

  • San Francisco ($88,700 - $135,300)

Working Conditions

This position requires hybrid on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for ongoing business continuity, professional development and effective collaboration with colleagues and management.
