Overview

The KM Technology Coordinator will play a key role in supporting the operational and technology needs of the Knowledge Management Technology (KM Tech) Team. This position is responsible for building and maintaining a team project and task tracker, maintaining the team’s knowledge base and tracking the budget, as well as supporting products and projects as required. The coordinator will work closely with KM Technology leadership, the team’s AI Champion, and other stakeholders to ensure efficient processes and accurate reporting.

 

Responsibilities

  • Build, maintain, and regularly solicit updates for the KM Tech Team’s project and task tracker using Smartsheet. Ensure all projects and tasks are tracked, reminders are sent, deadlines are met, and overdue items are flagged for leadership attention.
  • Develop rollup reports and dashboards for KM Technology Leadership to provide visibility into team progress and project status.
  • Coordinate monthly KM Tech Team meetings, including updating the presentations, confirming room setup, and managing conference bookings.
  • Review and update the team’s Knowledge Base (KB) both in OneNote and in iManage, identify gaps, utilizing the firm’s AI tools, where possible.
  • Support the AI Champion in identifying and highlighting opportunities to incorporate AI training and usage into the team’s daily operations.
  • Maintain the KM Tech Team’s infoNet page to ensure information is current and relevant, and to make sure the team’s vacation calendar is accurately maintained.
  • Track and report on KM Tech Team budget using Smartsheet and other approved budget tools. Prepare quarterly budget reports highlighting areas of over/under spending.
  • Support training and enablement by editing/updating training materials, including videos and quick reference guides as needed.
  • Assist with building solutions in Smartsheet or similar project management tools; prior knowledge of these tools is preferred.
  • Provide support as needed for other KM Technology products, projects and tasks, including uploading correctly sized headshots into the appropriate library for internal use.
  • Performs other work-related duties as assigned.

Qualifications

  • Bachelor's Degree or equivalent experience
  • 1-3 years experience with Smartsheet or similar project management tools required.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
  • Experience with video editing software, Techsmith Camtasia or similar; Budget tracking and reporting; AI tools and best practices.
  • Strong organizational skills and attention to detail
  • Strong analytical, problem-solving, and project management skills
  • Ability to manage multiple tasks and projects simultaneously.
  • Excellent communication and collaboration skills.
  • Law firm experience highly desirable

The anticipated pay range for this role is listed below and represents our good faith and reasonable estimate of the starting salary range at the time of posting. In addition, this role is eligible for a discretionary bonus based on performance. The actual offered rate for this position will be determined based on job-related, non-discriminatory factors, including qualifications and experience, geographic location, education, external market data and consideration of internal equity.

 

New York City: $66,000 - $95,700 

Working Conditions

This position requires hybrid on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for ongoing business continuity, professional development and effective collaboration with colleagues and management.
