Overview

Assist the Operations department with day-to-day mailroom operations, duties required in maintaining central supply operations (including inventory control and receiving and maintaining stock supply items), Conference Services meeting setups, and responding to facilities and maintenance situations. 

Responsibilities

 

  • Sorts and distributes incoming mail from USPS and other couriers
  • Scans and delivers packages checked in through the PS-Ship system
  • Collects outgoing mail, affixes postage, and prepares it for deliveries including but not limited to outside hand deliveries
  • Assists personnel with special requests including labeling and stuffing envelopes for mass mailings, moving documents and removing empty boxes
  • Helps with office/desk moves and preparation of spaces for new hires, visitors, and terminations
  • Uses the AMAG security system, helping with printing and deactivating cards and ensuring card database integrity by accurately entering information.
  • Keeps a close eye on facilities requests that come in through the work order system, taking tickets and communicating back to requestor promptly. Helps fulfill requests in other team member’s queues when they are out of the office.
  • Provides Conference Center assistance, including setup and takedown, as needed.
  • Monitors and maintains supplies stocked in Resource Rooms and Visitor Offices.
  • Takes on Facilities tasks as needed in an effort to maintain high levels of department standards, outstanding customer service, and office efficiency including but not limited to hanging art, painting, trash removal, cleaning, light bulb replacement and office reconfiguration
  • Supports Conference Services needs in arranging furniture for meetings and events
  • Other duties as assigned

Qualifications

  • Minimum GED or High School Diploma
  • Maintains a professional demeanor and confidentiality in all client and firm matters
  • Ability to follow up and follow through.
  • Ability to be flexible and maintain a professional manner in all situations.
  • Ability to organize and prioritize numerous tasks and projects from conception, execution, and completion
  • Ability to work both independently or under specific direction
  • Customer service focused and solution oriented with internal and external clients.
  • Working knowledge of the Microsoft Office Suite
  • Must have excellent command of English (both written and oral)
  • Excellent communication skills including ability to work in a collaborative team environment and communicate professionally and courteously in person, by email and by telephone.
  • Reliable and punctual
  • Ability to work effectively in a multi-office environment.
  • Ability to use common tools as necessary 
  • Typing speed of at least 40 words per minute.
  • Normal office environment and schedule.  Flexibility in reporting hours, available for unscheduled overtime.
  • Ability to lift at least 45lbs, use ladders, stand or walk for long periods of time, and to move freely within the workplace.
  • Ability to focus on a computer for long period of time.
  • This position requires manual labor for more than 25% of work hours, including frequent lifting, sorting, and transporting of mail and packages.

The anticipated pay range for this role is listed below and represents our good faith and reasonable estimate of the starting salary range at the time of posting. In addition, this role is eligible for a discretionary bonus based on performance. The actual offered rate for this position will be determined based on job-related, non-discriminatory factors, including qualifications and experience, geographic location, education, external market data and consideration of internal equity.

 

  • New York, NY ($49,800 - $72,250)

This position requires hybrid on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for ongoing business continuity, professional development and effective collaboration with colleagues and management.
