Overview

The Proposals Coordinator will work closely with the Proposals Manager to provide support to business development teams, client teams, and the marketing and business development function. The position will support the proposal team by providing the resources needed for the creation of strategic pitch-related materials, including responses to RFPs, preferred provider program submissions, qualification statements, and other custom pitch materials. The position will be responsible for tracking and reporting on all firm pitch-related activities, creating firm/practice reports on a monthly basis and managing the library of practice and firm master pitch content/boilerplates.

Responsibilities

  • Monitor and maintain the proposal team’s existing resources and knowledge management systems, including the proposal intake log, proposal database, and proposal generator system to streamline proposal efficiencies and ensure content and data is updated.
  • Assist in onboarding AI-related pitch and proposal tools, providing training and support for users through demonstrated proficiency.
  • Support the proposal manager on firm-level RFP responses, as assigned.
  • Track and report business development marketing efforts and pitch outcomes while maintaining data integrity within the firm’s business development and marketing tools.
  • Regularly audit materials and work closely with members of business development, practice development, and other firm stakeholders to update, maintain, and manage firm business development assets, such as practice and industry overviews and descriptions, experience information, and other tailored content used in proposals.
  • Act as a subject matter expert for the firm’s proposal processes, tools, and content while promoting best practices throughout all stages of an opportunity.
  • Work with the proposal manager to support additional proposal team business development projects and initiatives as necessary.
  • Work with various teams within the firm to draft, revise, search and update firm level content for both master material and for specific pitch and proposal opportunities, as needed.

Qualifications

  • Bachelor’s Degree with 1-2 years business development or marketing experience
  • Prior law firm or professional services experience preferred
  • Prior proposal and RFP experience preferred
  • Prior Foundation, Content Pilot, or other content management system and proposal generator tool experience preferred
  • Excellent organizational, communication and project management skills
  • Proficiency in business English, spelling, punctuation and grammar
  • Proficiency in Microsoft Office applications, including PowerPoint, Word, and Excel

The anticipated pay range for this role is listed below and represents our good faith and reasonable estimate of the starting salary range at the time of posting. In addition, this role is eligible for a discretionary bonus based on performance. The actual offered rate for this position will be determined based on job-related, non-discriminatory factors, including qualifications and experience, geographic location, education, external market data and consideration of internal equity.

Chicago:52,600 - 76,300

New York: 57,400 - 83,200

Working Conditions

This position requires hybrid on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for ongoing business continuity, professional development and effective collaboration with colleagues and management.
